Who We Are
NexusProMail is operated by Infotech Pioneers Oy, a Finnish software company based in Helsinki. For all privacy-related inquiries, you can reach us at support@nexuspromail.com.
What Data We Collect
We collect three types of information:
- Account information — Name, email, company name, and password (hashed) when you create an account.
- Campaign content — The email campaigns, contact lists, and templates you create and send through our platform.
- Usage analytics — Which features you use, when, and how often, to improve the service. No personal identification outside your own account.
Why We Collect It
We collect data only to deliver the service you signed up for:
- Delivering email marketing functionality
- Providing customer support
- Improving the product based on anonymous usage patterns
- Complying with legal and tax obligations
Who We Share Data With
We share minimal data with trusted subprocessors required to operate the service. See our full subprocessor list for details. We never sell your data. We never share it for advertising purposes.
Your GDPR Rights
Under GDPR, you have the right to:
- Access — Request a copy of all data we hold about you
- Rectify — Correct any inaccurate data
- Delete — Request deletion of your data ("right to be forgotten")
- Portability — Receive your data in a machine-readable format
- Object — Opt out of certain data processing
- Restrict — Limit how we process your data
How to Exercise Your Rights
Email support@nexuspromail.com with your request. We respond within 30 days as required by GDPR. For identity verification, requests must come from the email address associated with your account.
Data Retention
- Account data: Retained while your account is active, and up to 90 days after account deletion for backup recovery.
- Campaign content: Retained while your account is active. Deleted on account closure.
- Payment records: Retained for 7 years as required by Finnish tax law.
- Logs and analytics: Anonymized after 90 days.

Data Processing Agreement (DPA)
Business customers who need a signed DPA can request one by emailing support@nexuspromail.com. We provide a standard GDPR-compliant DPA on request.
Changes to This Policy
If we make material changes to this policy, we will notify registered users by email at least 30 days before the changes take effect.
